What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

If you complete details using our Contact Form, we will collect that information in order to respond to your query.  The data is then deleted in line with our Retention Policies outlined below.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

Who we share your data with

Outside of this website, we may collect Personal Information.  If you are a supplier of services to Training MK Ltd, or are a customer that we work with, we share your data with Intuit Quickbooks  in order to send invoices, pay bills, create statements and provide accounting information to the relevant professional services.  Intuit Quickbooks privacy policy can be found here: https://quickbooks.intuit.com/uk/privacy-policy/

If you have provided feedback to us using the Course Evaluation link, we will share that feedback with the sponsor (i.e. the contact point at the company that has booked your training session). The Course Evaluation is provided through a third party plug-in called PollDaddy. For further information on how they may process data, please visit their Privacy Policy.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

If you use our contact form to send a message, we will retain that data until 6 months from responding to you.

If you have provided your information in order for us to fulfil a service to you (e.g. customer, supplier etc) we will retain that data for 7 years after our last transaction/service supplied. This is to ensure compliance with any matter relating to a financial relationship.

If you have used our form to provide feedback following a course, we will retain that feedback for 6 months following its submission.

What rights you have over your data

If you have provided Training MK Ltd with your personal information,  you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service.

Training MK Ltd does not send your data outside of the EU. Should we need to do so in the future, we will first obtain your authority and will only send it outside of the EU for processing if you agree to us doing so.

How we protect your data

We take the protection of your data very seriously. At Training MK Ltd, we have the following security measures in place:

Training MK Ltd have an Information Security Policy in place; We regularly review our Information Security Policy and, where  necessary, make improvements; Password access  via each application is maintained; Personal Data is not sent in the body of an email but, should it be absolutely necessary, is encrypted; We understand the confidentiality, integrity and availability of the personal data we process; we ensure that any ‘contractor’ we use also implements technical and organisational measures; All staff at Training MK Ltd are trained to ensure compliance with Data Protection regulation (i.e. Data Protection Act 2018, incl GDPR, Computer Misuse Act); Risk assessments have been undetaken to establish areas where a potential breach, or risk, could occur and the necessary action has been taken.

What data breach procedures we have in place

All systems are monitored continuously in order to check for risks to personal data, loss of data, loss of service etc. If a breach, or potential breach, is found, it is reported immediately to the person responsible for Data Protection (details above) and the necessary action is taken. This may include reporting to the ICO as per GDPR requirements. Data Processors are aware of their obligations under the GDPR and Data Protection Act 2018 to notify Training MK Ltd of a breach and action is taken as necessary.

A data breach, or potential data breach, is logged accordingly and investigated in order to a) protect data b) inform the necessary authorities c) if necessary, inform the data subject(s) involved d) to ensure measures are put in place to prevent the incident from arising again.
